The short version
- We collect what you give us (a form, the chat, an email) and basic technical data from visiting this site.
- We use it to reply to you, run the site and improve it. We do not sell it.
- Some of the tools we use are hosted outside Australia. They are listed below.
- You can ask to see or correct your information, or make a complaint, at info@arwendata.com.
Who we are
Arwen Data ("Arwen", "we", "us") is a technology consultancy based in Sydney, Australia. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
What we collect
- Contact details and messages. Your name, email address, company website, phone number and whatever you write when you use a form, the chat, email or phone.
- Chat conversations. Everything you type into the chat assistant on this site, and the assistant's replies.
- Job applications. If you apply for a role, the details you send us, such as a CV.
- Technical data. Your IP address, browser and device type, the pages you visit and when, and how you got here. This is collected through cookies and similar tools.
- Business dealings. If we work together, the contact and billing details we need to do the work and invoice you.
We do not ask for sensitive information (such as health or political views) and ask you not to send it to us.
How we collect it
Mostly directly from you: when you fill in a form, use the chat, email us or call. We also collect technical data automatically when you visit the site. Sometimes we receive business contact details from your colleagues or from public sources such as your company website.
The chat widget keeps your conversation in your browser's storage so it can continue across pages. You can clear it by clearing site data in your browser.
The contact and Startups forms are protected by Cloudflare Turnstile, which checks that a visitor is human. It may read information about your browser and connection to do this.
Why we collect it
- To reply to your enquiry and arrange a conversation or a Pilot-to-Paid Check.
- To provide and invoice our services.
- To run, secure and improve this website, including blocking spam.
- To recruit, if you apply for a role.
- To meet legal obligations.
We use your details to contact you about your enquiry. We do not send marketing email unless you ask us to, and we do not sell personal information.
If you don't give us your contact details, we can't reply to you. You can use the chat without giving your name.
Who we share it with
We share personal information only with service providers who help us run the site and our business, and only as needed. We do not make decisions about people using automated systems that significantly affect them.
| Provider | What for | Likely location |
|---|---|---|
| Hosting provider for this website and our workflow tools (n8n) | Serving the site, receiving form submissions, routing messages to us | Servers may be outside Australia |
| AI language model provider used by the chat assistant | Generating the assistant's replies to what you type | Commonly the United States |
| Google (Tag Manager and analytics) | Understanding how the site is used | United States and other countries where Google operates |
| Cloudflare (Turnstile) | Spam and bot protection on forms | Global network, including the United States |
| Google Fonts and jsDelivr | Delivering fonts and site code to your browser. They see your IP address. | Global networks |
| Our email provider | Sending and receiving email | May be outside Australia |
Because some of these providers are overseas, your information may be sent outside Australia. We take reasonable steps to make sure providers handle it in line with the APPs. We may also disclose information where the law requires it, or to our professional advisers.
Cookies and analytics
We use Google Tag Manager to load analytics tools. These set cookies or similar identifiers that record visits and clicks, such as which buttons are used on the Startups page. The readiness check on that page records only a score band (for example "4-6") and never your individual answers. You can block or delete cookies in your browser settings. The site still works without them.
How we store and protect it
Information is held electronically on systems we control or on those of the providers above. We use access controls, encrypted connections (HTTPS) and limits on who can see it. We keep personal information only as long as we need it for the purposes above, then delete or de-identify it. No system is perfectly secure, so please don't send us anything you wouldn't want at risk.
If a breach is likely to cause serious harm, we will tell the people affected and the Office of the Australian Information Commissioner (OAIC), as the Notifiable Data Breaches scheme requires.
Access and correction
You can ask for a copy of the personal information we hold about you, or ask us to correct it. Contact our Privacy Officer using the details below. We will respond within 30 days. We may need to confirm who you are first. If we refuse a request, we'll tell you why in writing.
Complaints
If you think we've breached the APPs, write to our Privacy Officer. We'll acknowledge your complaint, look into it and reply in writing, normally within 30 days. If you're not satisfied, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
